Gardeners Plaistow is committed to providing gardening and grounds maintenance services in a way that protects the health, safety, and welfare of our employees, clients, visitors, contractors, and members of the public who may be affected by our work. This policy sets out the principles, responsibilities, and safe working practices that guide our operations on all domestic and commercial sites we attend.
Policy Aims and Objectives
The aim of this Health and Safety policy is to prevent accidents, injuries, work-related ill health, and damage to property or the environment during all gardening and maintenance activities. Our objectives are to identify hazards, assess and control risks, provide appropriate information and training, and continually improve our health and safety performance.
Legal Duties and Responsibilities
Gardeners Plaistow will comply with relevant health and safety legislation and accepted industry standards for gardening and grounds maintenance work. We recognise our responsibility to provide safe systems of work, suitable equipment, and adequate supervision. Employees and contractors are required to take reasonable care for their own health and safety and that of others who may be affected by their actions or omissions, and to cooperate with Gardeners Plaistow in implementing this policy.
Management Responsibilities
Management is responsible for implementing this Health and Safety policy and ensuring that arrangements are in place for effective risk management. This includes planning work safely, providing suitable tools and machinery, arranging training and instruction, supervising higher-risk activities, and investigating incidents or near misses to prevent recurrence.
Managers will ensure that risk assessments and method statements are kept up to date and that employees understand and follow the control measures set out in them.
Employee Responsibilities
All gardeners, maintenance operatives, and support staff must:
Use equipment and tools only for their intended purpose and in line with training provided. Wear appropriate personal protective equipment as required for each task. Report any hazards, defects, near misses, injuries, or unsafe practices to management without delay. Follow site-specific rules and reasonable instructions given by supervisors or clients. Refrain from working under the influence of alcohol, drugs, or any substance that may impair judgement or performance.
Risk Assessment and Safe Systems of Work
Before starting work, Gardeners Plaistow will consider the specific hazards at each site and task, including but not limited to working at height, use of powered machinery, manual handling, exposure to noise and vibration, use of chemicals and garden treatments, uneven ground, water features, and public access. We will implement control measures to reduce risks to an acceptable level and communicate these clearly to staff.
Where tasks present significant risk, written risk assessments and method statements will be prepared and reviewed at suitable intervals or when circumstances change.
Use of Tools, Machinery, and Vehicles
All machinery, tools, and vehicles used by Gardeners Plaistow will be selected, maintained, and operated to promote safe and efficient work. Only personnel who have received appropriate instruction or training may operate powered equipment such as mowers, trimmers, blowers, hedge cutters, chainsaws, and any plant or machinery used for heavier landscaping tasks.
Pre-use checks must be carried out, and any defective equipment must be removed from service and reported. Guards, safety devices, and manufacturer safety instructions must never be bypassed or ignored.
Personal Protective Equipment
Personal protective equipment will be provided where risks cannot be adequately controlled by other means. This may include safety footwear, gloves, eye and ear protection, high-visibility clothing, helmets, respiratory protection, and weather-appropriate clothing. Employees are responsible for wearing PPE as required, looking after it, and reporting loss or damage so it can be replaced.
Manual Handling and Repetitive Tasks
Gardeners Plaistow recognises that manual handling and repetitive tasks are common in gardening work. We will reduce the risk of musculoskeletal injury by planning tasks to avoid unnecessary lifting, using mechanical aids where practical, breaking down heavy loads, and encouraging safe techniques such as team lifting, good posture, and regular breaks from repetitive motion.
Chemicals, Substances, and Environmental Protection
Where fertilisers, pesticides, or other garden chemicals are used, Gardeners Plaistow will follow product safety information, applying substances only when necessary and in accordance with manufacturer guidance and applicable regulations. Staff will receive appropriate information on safe storage, handling, mixing, and disposal of substances, and on protecting themselves, the public, pets, wildlife, and the wider environment.
Working at Height
Tasks such as hedge cutting, tree work, or gutter clearance that involve working at height will be carefully planned and supervised. Only suitable equipment such as stable ladders, platforms, or access towers will be used, and staff will be instructed in their safe use. The use of improvised access equipment is strictly prohibited.
Protection of the Public and Clients
Gardeners Plaistow will take reasonable steps to ensure that our work does not put clients, neighbours, visitors, or other members of the public at risk. This may include setting up exclusion zones, using barriers and warning signs, controlling access while machinery is in use, and planning noisy or disruptive work to minimise disturbance.
Training, Supervision, and Communication
We will provide information, instruction, and training that is appropriate to the tasks performed and the level of risk. New staff receive induction on our Health and Safety policy, safe working procedures, and emergency arrangements. Ongoing training and refreshers are provided where necessary, including for the use of specialised tools or chemicals.
Supervision will be proportionate to the level of experience of staff and the risk associated with the work being undertaken.
Accidents, Incidents, and First Aid
All accidents, injuries, near misses, or dangerous occurrences must be reported promptly to management. Details will be recorded and, where required, notified to the relevant authorities. Gardeners Plaistow will maintain appropriate first aid arrangements and ensure that employees know how to access first aid equipment and assistance while working on client sites.
Monitoring and Review
This Health and Safety policy and the associated procedures will be monitored regularly and reviewed periodically, or following significant changes in our operations, legislation, or after a serious incident. We are committed to continuous improvement in our safety performance and to fostering a culture where safe working is viewed as an integral part of every gardening and maintenance task.
Cooperation with Clients and Contractors
We encourage open communication with clients and other contractors regarding health and safety on shared sites. Gardeners Plaistow will share relevant information about our work activities and any site-specific risks we identify and will cooperate with reasonable safety measures requested by clients, provided they do not conflict with our duty to protect our staff and the public.
